The Client

Riyad season is a five month long festival organized by the kingdom of Saudi Arabia, that celebrates the people and culture of the country. Among the five zones of the festival, The Grove features some of the finest cuisines, delivering a luxury dining experience for the visitors.

The Challenge

An exceptional event like this needed a remarkable tech structure, backing up all its major operations. Government alliance was a necessary requisite that required relentless teamwork and flawless execution.

Our Solution

We created a full-service, extensive structure with connected systems that enriched everyone involved with a streamlined network to work in. Starting afresh, we built a fully integrated system, from a custom entrance solution for the festival, a comprehensive ticketing system for reservation to a financial admin dashboard for real-time analysis and reporting. To imply to the government regulations of Saudi Arabia, we ensured that our system was in sync with Zakat regulations.

Design System

Our design language was built to allow for visual consistency, creating a simple but purposeful aesthetic – claiming the four zodiac signs, fire, water, air and earth.

 

The Groves aesthetic incorporated shades of green and brown to the themes in place. Rubik served as a fitting representation as an informal yet sturdy san serif font to represent the nature theme combined with the promises of a lavish night. The gravelly outlines highlight the earthy sentiment, which is further translated in the logo. Sealed within the logo our design narrative displays the fiery flames, earthy dunes, waves of water and gusts of wind. The deep regal finished look, thus, upholds all the promises The Groves delivered.

Application Development

To allow attendees to book tickets for the festival, we developed a simplified ticket booking application. Using a customer-centric approach, the user App allows easy booking, accepts online payments (MasterCard, Visa, MADA, Apple Pay) issues tickets with QR codes, and is loaded with features including time slot-based reservations. For a seamless entrance inside the festival, we also deployed the admin-panel interface encoded with a QR scanner, that conveniently scans QR codes on e-tickets, allowing customers a quick, hassle-free entrance.

Website Development

We opted for modern, clean designs that accentuated our simple color palettes, merging the colors and textures of the four zodiac signs that represent the Groves, i.e. fire, wind, water and earth. This brought focus to the slick photography that enticed users, giving them an idea of what to expect at The Groves.

 

Adopting a minimal approach meant our website loaded faster in the absence of unnecessary visual elements and allowed users to concentrate on the service we sold instead. This trendy aesthetic gave way to a seamless user experience and intuitive navigation. With a few clicks users could book their tickets, and have all the information they needed regarding, dates, events, restaurants etc. at their fingertips.

In App Notification System

The notification app provided timely messages to keep users up to date with special offers, upcoming events and news. Available in both English and Arabic, the app was accessible and built to the ease of everyone. It was also a great way to get users to engage with new features or promotions.

Staff & Management App

This was built specifically for the staff on ground at the Groves. Each staff member was given separate login credentials so they may scan the validity of the guests’ ticket. To keep things simple, their scanning capabilities were restricted to the area they were deployed in. For example, the staff at the front entrance could only scan the tickets of incoming guests, not of those already inside.

Customer Management Call Centre
System & Digital Point of Sale

We designed an on-premises solution where customer relation officers directly manage customer-related queries including receiving reservations, processing them, and answering questions.

 

The solution is equipped with a dashboard that facilitates management of all finances, communications and delivers real-time updates. Designed to smooth out the transaction process, our team designed the point-of-sale system used within the zone. Backed by our custom designed software, it lives up to a prompt execution.

Financial & Admin Dashboard

This feature presented a detailed financial breakdown, including total tickets sold and the varying mediums they were sold through. . It also provided clear outlines for staff responsibilities, their assigned locations and admin roles in each departments. Thus, maintaining a thorough record of all sales, roles and finances.

The Result

Serving an amazing culinary experience since 2021, the festival has been in full swing with thousands of App downloads, passes purchased and reservations collected, all powered by our tech. Attendees are conveniently able to purchase tickets and enjoy the festivities of the event in all its glory, in a seamless manner.

 

For information regarding the festival, people can browse through the website or download the app for a full rundown before they head their way to the zone. The remarkable customer support has allowed everyone a hassle-free experience, which would not have been possible without our efficient system in place.
